Here's a simple step-by-step CRM you can build in about 20 minutes with only free Notion features.

1. Create a "Contacts" database (full-page table). Properties:

  • Name (title)
  • Company (text) and Email / Phone
  • Stage (status or select): Lead, Contacted, Proposal sent, Won, Lost
  • Last contact (date) and Next follow-up (date)
  • Source (select): referral, website, LinkedIn, etc.

2. Create a "Deals" or "Projects" database with: Name, Value (number, currency format), Status, Due date, and a Relation to Contacts. Turn on "Show on Contacts" so each contact page lists its deals.

3. Add rollups on Contacts: a rollup of Deals > Value with "Sum" gives you lifetime value per client, and a rollup "Count" shows how many deals each has.

4. Add a follow-up formula on Contacts so nothing slips:
if(prop("Next follow-up") < now(), "Overdue", "")

5. Build the views you'll actually use:

  • Board view grouped by Stage (your pipeline)
  • Table "Follow up this week": filter Next follow-up is within next week, or Overdue
  • Gallery or list filtered to Stage = Won (current clients)

6. Log interactions by adding a third "Notes/Activity" database related to Contacts (date, type: call/email/meeting, summary). Each contact page then shows its full history.

Tip: keep the Stage options few. Five stages that you actually update beat twelve you ignore.

For a free sample: we made a free starter template for freelancers that has the clients, projects and invoices relations already set up. You can duplicate it here: https://2rds.github.io/freelancer-ops/lite.html?ref=notionanswers
